Action Steps

  • Examine successful practices in other public school districts.
  • Review the literature on how AI can be integrated into financial operations to transform workflows.
  • Explore the advantages such as efficiency gains and identify challenges such as budgetary constraints and security and privacy risks.
  • Choose a targeted project or process that might be piloted in the future and plan the elements of the pilot.

Initiative Achievement

The district began exploring artificial intelligence to enhance financial analysis and improve operational efficiency. AI tools were utilized to conduct trend analyses of staff absences related to illness and vacation, allowing for a more precise estimation of employer liability for compensated absences. This analysis also supported the development of a three year financial projection, providing greater insight for long term planning of certified and noncertified temporary salary budgeting.  The use of AI significantly increased productivity and resulted in substantial time savings in data analysis and forecasting.

In addition, district leadership met with the Town Manager and Town Finance Director to explore broader applications of AI in aligning financial reporting between the district and the town. Discussions included the potential to use AI to consolidate and streamline data from both entities into a unified reporting format that could serve the needs of both the Town Council and the Board of Education.

These efforts represent an initial step in integrating innovative tools to improve accuracy, efficiency, and collaboration in financial management and reporting.  Based on the software used by the town finance department, the group concluded it would not be feasible to use AI to produce a unified report from the reports currently produced by the district and town finance departments.
